This notice describes information handled by the Bontrager Builders website, Design Studio, customer portal and installed Builders phone app.

Project requests and customer work

When you send an inquiry, we receive the contact information, project location, description, selected specifications and files you provide. We use these to review your request, contact you and organize the work. A saved Studio design can include its configuration, contact details and a site photograph. Portal messages, shared documents, project schedules and account preferences are stored with the relevant customer or project record. Avoid sending payment card numbers, government identification or information unrelated to your project.

Files, access and public photographs

New intake documents and customer site photographs use protected storage. Signed-in staff access is limited by role and project assignment; customer portal access requires a verified account and an assigned project. Customers can access their project uploads and files and milestones explicitly shared by the team. Downloaded copies are outside the website access controls. Public portfolio photographs require a separate marketing decision. AI-edited project images require a reviewed result and explicit approval for that project; the original is retained. Concept illustrations and edited images are labeled where displayed.

Customer project reviews

You can submit a rating and written review from a published project page without creating an account. We collect your name and email privately so our team can assess the submission and follow up if needed. The public display uses your first name and last initial, rating, and review text only after you agree to website display and staff approve the exact review. Reviews may appear on the project page and the customer reviews page. Social media use requires a separate optional choice; website approval alone does not authorize sharing your review or name to Facebook, Instagram, or other services. Submission does not create a review on those services. Unapproved, rejected, and spam submissions remain private. Contact us to ask that a review be corrected or removed; approved reviews stop appearing on new website renders after staff remove approval. Previously cached or independently shared copies may require separate removal.

Existing customer-portal reviews still use a verified account assigned to a completed project. Those reviews retain their original consent and moderation rules, including the customer’s portal option to withdraw website display. Reviews and private contact details are retained with project records until the applicable business retention and privacy-request process is completed.

Cookies and browser storage

WordPress uses cookies to maintain sign-in sessions. The Studio can save a working design and a guest access key in the browser so you can reopen it; anyone using the same browser profile may be able to access that saved work. Guest design access keys should be treated as private. The intake form keeps a draft in session storage, excluding names, email addresses, phone numbers and selected upload files, and clears that draft after a successful submission. The website also stores your optional measurement choice. You can change it using Privacy choices in the footer. Clearing browser data removes local drafts and preferences but does not erase records already sent to the business.

Optional measurement and external pages

Optional advertising measurement and campaign attribution are enabled only after you choose Allow measurement and only for services configured by the business. You can submit a project request with Essential only selected. If configured and allowed, Google, Meta or Microsoft advertising services may receive measurement events and campaign identifiers under their own privacy notices. Public translation is optional and loads an external translation service after a language choice; translated wording can contain errors. Directions, maps, manufacturer references and other external links take you to services with their own privacy practices.

Website assistance and image editing

The Guided FAQ is an identified virtual assistant that matches questions to reviewed website answers. It does not approve structures, quote final prices or read customer project files. Its unanswered-topic report uses fixed topic categories rather than retaining your question text. Optional external image editing is separately controlled and can send the selected project photograph to a configured provider when authorized staff run it. Staff must review the result before publication. An external AI provider is not required for the Guided FAQ. If the business enables the optional OpenAI response mode, your question, approved public website answers and an IP-derived pseudonymous safety identifier are sent to OpenAI. When OpenAI material review is enabled, submitting a Studio design also sends its non-personal building dimensions, selected systems and preliminary material-row descriptions to OpenAI to draft a private staff review. Names, contact details, jobsite address, prices, and images are excluded from that material-review request. AI suggestions do not change the saved design or become supplier instructions without staff review. Do not enter sensitive personal information in the website assistant.

Email, phone notifications and reminders

Team email summaries can include the project details needed to follow up. Email is processed by the configured outgoing mail service and recipient mailbox provider. Installed phone apps can register a browser push endpoint and encryption keys after notification permission is granted. Those subscription details are encrypted in website storage; the browser push service processes delivery. Lock-screen alerts use a general update or reminder message and direct you to sign in to review the details. Personal reminders and notification preferences are stored with the account. You can remove a device or turn off notifications in the app or phone settings. Shared team accounts share an inbox and audit identity.

Retention and privacy requests

Website project, design and customer records are kept for business follow-up and administration until reviewed for removal. They do not have an automatic deletion period. Anonymous conversion events are eligible for cleanup after 365 days when scheduled cleanup is enabled. A documented business or legal retention reason may require part of a record to be retained. Website privacy tools support identity-checked export and erasure requests, including related contact records and eligible protected files. Erasure may leave a minimal operational audit record. Hosting backups, provider logs, previously downloaded files and older public uploads require separate review and may remain until their applicable retention process finishes.

Contact Bontrager Builders to request access, correction or deletion, or to ask which records must be retained. We will verify your identity before releasing private information. Changes to the website or providers require this notice to be reviewed again.
